Google@UH Migration FAQs

The following are some frequently asked questions (FAQ) for UH users who have been migrated to use Google@UH for email, calendaring, and other Google applications.

We also have FAQs specific for various Google@UH applications.

 

Where can I check the status of my migration to Google@UH? Where can I go to reschedule my migration to Google@UH?

You can check the status of your migration to Google@UH, or reschedule your migration date, by going to http://www.hawaii.edu/google/signup/status.php.

 

How do I check my Google@UH Gmail account?

You can check your Google@UH Gmail account in one of three ways:

  1. Through the Google@UH Gmail web interface.
  2. Through MyUH - once you login to MyUH, you should see the Gmail icon near the top of the screen, and this will log you into the Google@UH Gmail web interface.
  3. Through a POP/IMAP email client - you will need to enable POP/IMAP on your account before you setup your email client. Client setup instructions to connect to Google@UH Gmail are here.

 

Some of my messages weren't migrated to Google. Why not? Can I still get a copy of these messages?

If you have messages that didn't migrate successfully to Google, you may still be able to get a copy of these messages. Contact the ITS Help Desk to request a copy of the non-migrated messages. ITS will then compile the messages that are available and provide them to you in a .zip archive file. This process will take 3 to 5 business days to complete.

Common reasons for a message not being migrated are:

  • The message size exceeds 25MB, including attachments
  • The message contains an attachment type that Google does not allow (see http://mail.google.com/support/bin/answer.py?hl=en&answer=6590 for a complete list of these attachment types)
  • Some message header information is missing; this is likely the case if the non-migrated message was a saved message draft
  • Google detected the message as spam or containing a virus

In some of these cases, only message text may be available (no attachments) or the entire message (text and attachments) may not be recoverable.

 

Why does my migrated mail folder show up with "Migrated/" in front of the folder name in Google@UH Gmail, or as a subfolder of "Migrated" in an IMAP client?

There are a number of "reserved" folder names which Google does not let users uses. Examples include important, voicemail, unread, chats, contactcsv, muted, and popped. If any migrated mail folder has one of these reserved folder names, they will appear in the Google@UH Gmail web interface as Migrated/<folder_name>, where <folder_name> is the name of the migrated folder. For example, a migrated mail folder named important will display in Google@UH Gmail as Migrated/important. If you use an email client to connect to Google@UH Gmail via IMAP, the migrated mail folder would appear as a subfolder under a Migrated folder.

 

Can pine (Alpine) be used for email after migrating to Google?

Once your UH email has been migrated to Google, the normal pine command in uhunix, used to launch the Alpine email client, will no longer allow you access to your UH email. Instead, you will need to use the alternate command gpine.

Before you can use gpine, you will need to login to Google@UH Gmail and enable IMAP access. See Ask Us 1147 for instructions on how to do this.

Note: You will need to login when first launching gpine and when sending your first message from gpine. When asked to login, provide your full UH email address as the Login Name, and your normal UH email password as the Password. For example, if my UH Username is jdoe, I would enter jdoe@hawaii.edu as the Login Name and my UH Username password as the Password. You will need to repeat this process each time you exit from gpine and launch the program again.

 

Why does the message count in Google@UH Gmail differ from my IMAP email client?

Gmail counts the number of conversations which are in a mailbox. This differs from most IMAP email clients, which would count the actual messages that are present in a mailbox. So, if some of the email messages are grouped into conversations in Gmail, the message count reported by Gmail will be different than the message count you see through your IMAP email client.

 

How do I import my contacts from MyUH into Google@UH Gmail?

This article explains how to import your contacts from MyUH Email into Google@UH Gmail.

How do I export my contacts from MyUH Email and import them into Google@UH Gmail?

  1. Log into MyUH http://myuh.hawaii.edu, then go to the Google@UH tab.
  2. Click on the Export MyUH Address Book button.
  3. Use the drop down box under Choose a program to export contacts to: and select Microsoft Outlook. Click on Export Now.
  4. When prompted by your browser, save the file CPAddressBook.csv and take note of the location where the file was saved to.
  5. Log into Google@UH Gmail at http://gmail.hawaii.edu.
  6. Click on Contacts and then Import.
  7. Click the Browse... button and select the CPAddressBook.csv file you just saved from MyUH.
  8. Click Import and your contacts should now be imported into Gmail.

Why didn’t my contact groups import into Google@UH Gmail?

Due to limitations with .csv files, groups cannot be exported from MyUH. Groups will need to be recreated in Gmail by the user.

 

How do I import my contacts from UH WebMail into Google@UH Gmail?

This article explains how to import your contacts from UH WebMail into Google@UH Gmail.

How do I export my contacts from UH WebMail and import them into Gmail?

  1. Login to UH WebMail.
  2. Click on Address Book and then click Import/Export.
  3. On the next screen, select Microsoft Outlook CSV for Export Format and then click on the Export button.
  4. Save the file to your computer and take note of the location where the file was saved to.
  5. Log into Google@UH Gmail at http://gmail.hawaii.edu.
  6. Click on Contacts and then Import.
  7. Click the Browse button and select the file you just saved from UH WebMail.
  8. Click Import. Your contacts should now be imported into Gmail.

Why didn’t my contact groups import into Gmail?

Due to limitations with .csv files groups cannot be exported from UH WebMail. Groups will need to be recreated in Gmail.

 

I use the MyUH Calendar. How do I merge this with my new Google@UH Calendar?

You will need to export the data from your MyUH Calendar, and then import this data into your Google@UH Calendar. Refer to Ask Us 1142 for instructions on how to export your MyUH Calendar data, and refer to Ask Us 1143 for instructions on how to import the MyUH Calendar data to your Google@UH Calendar.

 

What happened to the signature that I used in UH WebMail or MyUH previously?

Signatures from UH WebMail (http://mail.hawaii.edu) and the email client in MyUH are not migrated. You will need to recreate your signature in Google@UH Gmail.

What happened to the filters that I created in UH WebMail previously?

Filters from UH WebMail (http://mail.hawaii.edu) are not migrated. You will need to recreate these filters in Google@UH Gmail.

I had a "Todo" folder before migrating. How come it's not on my Google@UH Gmail?

Todo is a reserved folder name and cannot be used in Gmail, so if you had a folder with this name it will not be created during your migration. Instead, the migration will move all messages from your Todo folder into the Starred folder. Gmail has designated the Starred folder for people to use to keep track of things "to do".

 

Trouble connecting an email client to Google@UH Gmail

If experiencing problems connecting your email client to Google@UH Gmail, please attempt the following:

  • Ensure that IMAP/POP is enabled for your Google@UH Gmail account. Refer to Ask Us 1147 for instructions on doing this.
  • Verify that you are using the correct IMAP/POP settings for Google@UH Gmail. Refer to Ask Us 1077 for proper settings.
  • Check that the problem isn't due to your UH Username password. Note: If you have not changed your password since 2010, you may need to change your password by going to http://www.hawaii.edu/username before IMAP/POP will work.
  • Check if your Google@UH Gmail account is disabled from IMAP/POP access by going to the Google Captcha page.
