Faculty & Staff Computers
COE adheres to a life-cycle funding program, replacing computers on a 4-year rotation. New COE systems are configured with a set of Standard Software and delivered to destination offices.
Systems not conforming to the below procedure may not receive configuration, software, or support from TDP.
Procurement & Logistics
1/4 of a department (or unit’s) computers should be replaced in years 1, 2, 3 and 4. In the 5th year, the first 1/4 should replaced by new computers. Department/unit's determine which computers should be replaced and when. Computers younger than 3 years should not be replaced unless they can not be repaired or satisfactorily upgraded.
- Procurement is initiated by departments. Print system quotes from the links provided below under COE Standard System Options.
- Include in requisition notes: UH asset tag of the computer being replaced, name of faculty/staff member for whom the computer is intended
- Ship to COE Technology & Distance Programs (1776 University Ave., Wist Hall 236B). TDP will configure and install them in COE offices.
- Copy all POs to the TDP office. PO or memo should include the computer's final office destination and to whom it is assigned.
- Retired computers may be:
- Retained by departments for student or workstations
- Relocated to other departments as requested
- Erased and disposed by UH procedures, including donation to the lab school
COE purchasers may select any of the following system options. Those without portability needs should order desktop systems as they are less costly. Faculty with special computing requirements may purchase differing equipment – such requests require approval, should include a detailed rationale statement, and separate funding may be required.
Printers
The attached file outlines three printer options: Personal B/W Laser, Workgroup B/W Laser, and Workgroup Color printers. Please order these models, or include rationale statement for differing models.

MS Office, antivirus software, Thunderbird email, and a robust suite of recommended software will be installed by Technology & Distance Programs staff.

Mac Laptop

Note that this option does not include a dock or external monitor. The standard MacBook above differs only in screen size, dedicated graphics, ExpressCard slot, and hard drive size. There isn't much difference in processing speed. $2,038 including 3-year Applecare.
Funding for Life-Cycle Project
Academic Departments
The Dean’s Office will process new computer orders on an annual basis for the replacement of aging computers. 25% of a department’s full-time, general-funded positions can replace computers each year. Departments generate requisitions from the system quotes available on this page at any time during the year. Credit for re-purchases will carry over from one year to the next. July 1 marks the beginning of new fiscal years, and the availability of new computer replacements.
Personnel in part-time, temporary, and adjunct capacities can check out a laptop computer from the Faculty/Staff loan pool in the Office of Technology & Distance Programs. Loan pool computers must be returned when personnel changes or terminations occur.
Federal and Grant Funded Projects
Orders should be COE Standard System Options using grant funds. If project needs require alternate systems, include a rationale statement.
CDS
Orders should be placed from COE Standard System Options. Funding source is designated by CDS fiscal officer; requisitions are submitted through CDS fiscal officer. If project needs require alternate systems, include rationale statement.
CRDG
Orders should be placed from COE Standard System Options. Funding source is designated by CRDG fiscal officer; requisitions are submitted through CRDG fiscal officer. If project needs require alternate systems, include rationale statement.
