Effective July 1, 2010, satellite copiers for your departments will be available via the New Satellite Copier Program. Machines that meet a variety of reprographic needs from the most basic to extremely sophisticated can be leased at surprisingly affordable prices.

The Basic Program

The program is optional; however, the New Satellite Copier Program offers the following benefits which you may not be experiencing if your department procures its own copier machines:
• Subject matter expertise for procuring machines
• Reduced pricing for both leasing and supplies as a result of bulk buying influence
• Basic pricing includes multifunction machines with the ability to scan, print, email and fax. These paperless options not only save the University money, but are kinder to the environment.
• Maintenance of the machines and replacement ink included in the basic cost
• Dispute resolution with vendors on your department’s behalf
• Machine replacement every five years
• Fiscal support

Cost Per Copy
A $25 monthly administration fee will be assessed on all basic leases. Additional charges may apply for upgrades. The following cost per copy charge will depend on your monthly volume; overall costs are competitive with any other vendor you may consider doing business with.

Upgrading
The New Satellite Copier Program will allow departments to select the copier features most beneficial to their needs while still being price conscious.

If your department reprographic needs are more sophisticated than the multifunction machines that print, scan, email and fax in black and white, you may want to consider leasing an upgraded machine.

We provide extremely competitive pricing for upgraded machines – they are provided to you with minimal markup from wholesale. Depending on type of upgrade and monthly volume, an upgrade could be as low as $35 per month. We will work with your department one-on-one to ensure you procure the most price-effective copier to meet your needs.

Duplicating Services uses a wide range of vendors in order to ensure the best pricing. Here are some examples of upgraded machines and their respective costs to upgrade:

Billing
Billing will occur through journal vouchers for all University departments; and invoices for RCUH and UH Foundation users. Departments will need to provide us with a billable FMIS account code for the New Satellite Copier Program. Fiscal officers will receive monthly statements so costs for departments can be monitored regularly.

Your department will be assigned a user code to track your department’s volume. Each user code can have a different billable FMIS account code so the appropriate department can be billed in the case of one machine being used by multiple departments.

How to Sign Up

If your department is a single user with a single billing code, filling out Form A is sufficient. Fill out Form B in addition to Form A if you will be sharing your copier with another department and therefore will require separate billings.

Information gathered from these forms, along with historical usage information if available, will be used to determine initial copier recommendations.
