TRAINING DATABASE DECISION
***************************************************************************
The Steering Committee decided to have Endeavor refresh the training
database in mid-January, 2001. It will be easier to test changes and
conduct training if the training database matches the configuration of the
production system. System Administration for the training database will
have to be redone to match the production database. Local records added to
the training database will disappear. New local records will need to be
added for training purposes. The committee will determine the refresh date
in January.

Shortly before our general release date (within 14 days), Gwen Sinclair
will offer public searching (WebVoyage) sessions for all interested staff.

Ruth Horie will lead staff searching sessions for all interested staff.

Our Monographs and Serials departments will provide Voyager Acquisitions

Z39.71 & MFHD TRAINING
Alice Permenter, Head of Cataloging at Tulane University, led two all-day sessions on Z39.71 & MFHD training. Twenty-eight trainees representing all of the Hawaii Voyager libraries participated.

What's Z39.71? Its a new NISO standard that describes how to create holdings statements for bibliographic items in any physical or electronic medium. What's a MFHD? A MFHD (pronounced muff-head) is a Voyager holdings record.

IMAGE SERVER
Dan Sweeney led a group of trainees from Bishop, Kapiolani, and Manoa on the Voyager Image Server product.

SPINE LABEL
Fred Allen provided a brief orientation on Voyager's spine label printing product to representatives from most of our Hawaii Voyager libraries. He also demonstrated Vgerspin (a program created by Northwestern University to batch produce spine labels).

FUTURE HAWAII VOYAGER TRAINING PLANS

UHM Acquisitions staff may provide other Hawaii Voyager with Acquisitions training in version 99.1 in February or March 2001.

Because version 2000 has numerous problems, Thelma Diercks, UHM Libraries Acting Head of Collection Services, recommends waiting to install version 2000 to sometime in the future when the major problems are ironed out. Currently, we have no timeline for Voyager 2000 training.

Although all the dates I'm about to list are tentative and approximate, here's a few training scenarios:

If Voyager is released to Acquisitions and Cataloging by mid November, Acquisitions staff are likely to have a two week window in late November to train selectors on funds related information.

If Voyager is released to Acquisitions and Cataloging staff in late November or December, Acquisitions staff are likely to train selectors on funds related sometime in late January. The delayed training is due to the Phase III moves.

As stated in the Collection Services Minutes (6/22/00), Technical Services does not have time during data migration to produce a serious systematic training plan for other departments. There will also be a great deal of setup, cleanup, and catchup once we are live on Voyager. Department heads are willing to instruct public services staff on an ad-hoc basis, but it does not make sense to provide full training in version 99.1--we should wait until we are proficient with Version 2000.

CIRCULATION TRAINING
Circulation staff are scheduled to begin intensive training in September.

ENDEAVOR - THE A2K MOVIE
We plan on purchasing the Voyager 2000 Acquisitions training video sometime in late August.

The Steering Committee was unable to reach a consensus about whether we should go live on version 99 or 2000. They hope to reach a decision by Thursday, 7/27. The decision has important implications for our Voyager training.

ACQUISITIONS & SERIALS TRAINING
Acquisitions & Serials staff training is on hold until the Steering Committee decides what version of software will be installed. Stephanie Nelson will consider requests from Public Services staff interested in learning more about the serials portion of the Acquisitions module. Interested parties should email Stephanie. The requests will be reviewed on an ad hoc basis. Thelma hopes to provide a Frequently Asked Questions session on Voyager Acquisitions for selectors at a future CDCC meeting. Details will be revealed in future training updates.

CATALOGING TRAINING
Cataloging training has slowed in response to the shifting production dates and decisions about what version of software to install.

CIRCULATION TRAINING
Circulation staff are scheduled to begin training in late August and September. The training dates will shift in response to what version of software we install.

SINCLAIR STUDENT TRAINING
Sinclair student training will start about one month before the production date. Training planners are waiting for the Steering Committee to finalize the production dates and version of software we install.

Z39.71 & MFHD TRAINING
Alice Permenter, Tulane University librarian, will be leading two all day sessions in September.

TRAINING LOCATIONS
Our previous training room, Room 2, is reserved for library instruction classes throughout the Fall semester. One alternative training location being considered is Mezzanine 2 in the Sinclair Library.

ENDEAVOR - THE A2K MOVIE
We plan on purchasing the Voyager 2000 Acquisitions training video sometime in late August.

Welcome to this week's exciting episode of Voyager Training Updates. Read on if you want to learn more about what's happening with Voyager training.

VOYAGER 99.1 VERSUS VOYAGER 2000
In response to shifting production dates, the Voyager Steering Committee is considering whether we should install Voyager 99.1 or Voyager 2000 software in September 2000. The decision has major implications for our training plans.

VOYAGER 2000 SUPPORT
While there are numerous considerations in this decision, the training related comments I have received so far have encouraged the installation of Voyager 2000 in September.

Although there are some differences in each of the modules, the major changes in Voyager 2000 software are found in the Acquisitions module. However, Stephanie and Thelma are confident that they could, for the most part, teach the staff Voyager 2000 based on the training they received with Voyager 99.1.

Donna Smith, our overall project manager, suggests the look and feel of Voyager 2000 Circulation is considerably different than Voyager 99.1.

No decisions have been reached. The Steering Committee will discuss whether or not to install Voyager 99.1 or Voyager 2000 at their next meeting.

THE A2K VIDEO
We plan on purchasing a video of Voyager Acquisitions 2000 regional training. Stock up on your popcorn because this four hour video captures the training session in its entirety. You won't want to miss this video.

UPCOMING PAC TRAINING
On July 12-13, Gwen Sinclair will be leading a detailed PAC training session for OPAC department training leaders.

In August, Ruth Horie will be leading a special Cataloging/Searching session for Public Services staff. Ruth's goal in the session is to provide a richer understanding of how the information inserted in the Cataloging module displays and is interpreted in PAC.

ENDEAVOR TRAINING IN SEPTEMBER
If the Steering Committee chooses to install Voyager 2000 in September, some of the Endeavor training sessions reserved between September 11-22 (Media Scheduling, Image Server, Citation Server, Workflow, and Reports training) are bound to change.

By August 1, I hope to provide you with a clearer picture of what our September & October training schedule will look like.


Update, June 23, 2000

SHIFTING PRODUCTION DATES
The Voyager production date, the date all Voyager modules are scheduled to go live for University of Hawaii campus libraries, appears to have shifted into September. The latest projection is between September 18-25. There are numerous training implications.

SOME TRAINING DATES WILL CHANGE
In all likelihood, the shifting production dates will cause shifting training dates. Although I have not heard back from Endeavor, I'm confident our September 18-21 Workflow training will change. All other Endeavor led training (Citation Server, Image Server, Report Writer, and Voyager 2000) is also subject to change. Its quite possible several of these sessions will move to October or November. The date changes are dependent upon a combination of Endeavor trainer availability and our needs.

While Acquisitions, Cataloging, Spine Label, and Z39.71 training will continue as planned, Circulation training dates will shift from July to mid August. After talking with Gwen Sinclair next week, I'll be able to update you on any changes to PAC searching training.

ROOM 2 RESERVATIONS
Voyager training will compete with LIS 100 classes for use of Room 2 during the Fall 2000 semester. I am working with our LIS 100 instruction librarians to work out a plan to manage Room 2 use. We are unable to use Room 1 because they are equipped with the new iMacs. Although the iMacs look cool, Voyager training requires PCs. While Room 401 has PCs, it doesn't have enough of them. Please consider Voyager training needs when scheduling Room 2.

HAWAII MEDICAL LIBRARY (HML) - THE FIRST HAWAII VOYAGER LIBRARY
HML's production schedule has not changed. The first HML test loads went very well. HML is still scheduled to release all Voyager modules in July. They have completed Endeavor led Cataloging, Circulation, and PAC training. They are busy providing internal Voyager training. HML will send trainees to Z39.71 training. They may send a trainee to Media Scheduling training.

BISHOP & HAWAII STATE ARCHIVES
These production dates are being reconsidered. Like HML, Bishop and HSA staff have completed Endeavor led Cataloging, Circulation, and PAC training. They will probably send trainees to Z39.71 training.

Update, June 19, 2000

IN A NUTSHELL
Endeavor staff have completed Acquisitions, Cataloging, Circulation, and OPAC Configuration training for all Hawaii Voyager libraries. With the exception of Acquisitions training, participants will return to their library and lead training sessions. Manoa staff will provide Acquisitions training to other Hawaii Voyager libraries sometime in early 2001. Endeavor staff will return in September and provide Citation Server, Image Server, Media Scheduling, Reports, and Workflow training.

PAC - SEARCHING - TRAINING
Gwen Sinclair will work with representatives from each department over the the next two months to organize more detailed training for Web Voyage, the public user interface, and the Voyager Windows interface which will be used by staff for searching purposes. The goal of the training will be to enable staff to search the Endeavor public catalog in both interface environments. The approach to this training will be to develop a script which can be used by departmental staff. The script will most likely follow a comparative approach between the two interfaces and will allow for an emphasis of the interface that departmental staff will be most likely to consistently use. Training will continue until all library staff are trained, and will be scheduled by the departmental trainers as they determine. The departmental representatives include:

>From July 11-21, Susan Murata and Sandi Ohashi will lead Circulation training for Access Services, Government Documents, Preservation, Sinclair, and Special Collections staff.

SPINE LABEL TRAINING
On August 7, Fred Allen will lead three separate hour long spine label training sessions in the Cataloging, Preservation, and Serials departments. Staff from Government Documents, Public Health, and Sinclair will also attend the training.

Z39.71 TRAINING
In consultation with the Collection Services heads, Roberta Winjum decided that Z39.71 training is needed. This new standard describes how to create holdings statements for bibliographic items in any physical or electronic medium. Endeavor and OCLC Pacific don't provide this training. After searching for a trainer, Alice Permenter, a librarian at Tulane University, was identified as a candidate. Alice has agreed to lead the training and is discussing possible dates with Roberta Winjum. All Hawaii Voyager libraries will be able to send representatives to the sessions.

CATALOGING & OPAC CONFIGURATION TRAINING (June 6-16)
Leslie Farrell, Endeavor trainer, has been leading Cataloging training for staff from each Hawaii Voyager library. This will be followed by two days of OPAC Configuration training for selected staff from Bishop Museum, Hawaii Medical Library, the Systems Office, and the WebPAC Task Force.

MACRO DISCUSSION (June 14 - Flag Day)
Leslie Farrell will meet with a small group of Cataloging, DNS, and Systems staff to discuss what types of activities are appropriate for macros. Macros are little programs that make life easier for staff by creating shortcuts. Most macros are created for the Cataloging module.

Training Update, May 19, 2000

ENDEAVOR MODULE TRAINING (May 22 - June 14)
Ann Lorish, Endeavor trainer, will lead Acquisitions and Circulation training for staff from all UH system libraries. Following Ann, Leslie Farrell, another Endeavor trainer, will lead Cataloging training for staff from all UH system libraries. The trainees will return to their library and lead their own Cataloging, Circulation, and PAC training programs. With the exception of Law, Manoa staff will lead Acquisitions training for the other UH libraries.

OPAC CONFIGURATION TRAINING (June 15-16)
Leslie Farrell will lead members of the Systems Office and the WebPAC Task Force on configuring our WebVoyage product.

UHM LIBRARIES ACQUISITIONS TRAINING (Ongoing - September)
Acquisitions training is already in progress. After the Acquisitions module training and more experience with the module, Acquisitions staff promise to provide high octane, hands-on training for other Collection Services staff. Public Services staff will receive training in September in the production database. Acquisitions training will be tailored to meet individual needs. Details will be provided in future updates.

UHM LIBRARIES CATALOGING TRAINING (June & July)
Six intrepid Cataloging staff (Ruth, Michael, KT, Sophia, Paul, and Suzanne) will lead the Cataloging staff in Voyager training. Room 2 has been reserved for Cataloging training on June 19-20. After evaluating departmental requests for training, the Cataloging trainers will design Cataloging Lite sessions for staff outside of Cataloging requiring limited and basic training. Room 2 has been reserved on July 24 for Cataloging Lite sessions. Details will be provided in future updates.

UHM LIBRARIES CIRCULATION TRAINING (July 11-24)
Circulation trainers are busy learning the Circulation software. After module training, Susan Murata and Sandi Ohashi will lead a series high voltage Circulation sessions. Carla Brum will lead the Reserve sessions. See my May 8 message on Voyager Circulation Training Summary for more details.

UHM LIBRARIES SERIALS TRAINING (Ongoing - To be determined)
Serials training is already in progress. After Serials staff have attended module training and had an opportunity to gain more experience with the Voyager Serials software, they plan on delivering sessions giving other Collections Services staff the rules and the tools they need to operate the Serials module successfully. Like Acquisitions and Cataloging, they will evaluate the departmental requests for training and design appropriate tracks of training. More details will be provided in future updates.

UHM LIBRARIES WEBVOYAGE TRAINING (To be determined)
On May 16, Gwen Sinclair provided introductory sessions for department representatives. Ideally, these representatives will share what they learned with their staff. After the WebPAC Task Force has made their configuration decisions, more comprehensive training sessions will be designed and delivered. More details will be provided in future updates.

OVERALL GOALS
Staff will be able to conduct basic transactions in Voyager software on opening day.


Introduction, March 8, 2000

Dave Brier, Systems Department, UH Manoa Library, is the Voyager Training Plan Coordinator. Representatives from UH Manoa, UH Law, UH Hilo, UH Community Colleges, Bishop Museum, Hawaii Medical Library, and the Hawaii State Archives, will form the Voyager Training Planning Committee (VTPC). The Committee's charge is to design and execute a training plan for staff throughout the UH Library Network to implement and use Voyager software. Specifically, the committee will coordinate the training provided by Endeavor staff under the terms of our contract and consult with individual libraries on their plans for in-house training.

Prerequisites for Voyager training include mouse proficiency and Windows literacy. Please begin working with your campus or library microcomputer support staff to ensure that your staff has this prerequisite training.

One of the first steps in the training plan is to identify the number of staff who need Voyager training. Dave will be surveying each library to identify their Voyager training needs.

Throughout April and May, Endeavor training staff will be at UHM Library leading five sessions of "Functional Training." The goal of Functional Training is to expand attendees' understanding of each module and the integrated nature of the system. Forty people (five groups of eight) will attend these four-day sessions. These forty people will compose our group of core trainers. They will then go out and train other UH Library Network staff.

This message is simply an introduction. You will be hearing lots from Dave and the VTPC in the upcoming weeks and months about Voyager training plans. Please contact Dave via assist@hawaii.edu should you need any additional information about Voyager training.

Overview of Contracted Endeavor Training

Here's a blueprint of the UH Voyager Training Program recommended by the
Voyager Training Planning Committee. The goal is to prepare
staff throughout the UH Library Network to be able to conduct basic
business operations the first day Voyager goes into production. 

The outline is general in scope and subject to change depending on the
availability of Endeavor's trainers and any changes in our production
dates. We will alert staff as soon as Endeavor schedules training dates. 

Each library is responsible for training its own staff in Windows, Microsoft
Access and, with the exception of the Acquisitions module, in the Voyager OPAC,
Cataloging, and Circulation modules. Additional messages filling in the
details and expanding upon this training plan will be sent at later dates.

FUNCTIONAL TRAINING (April 11-28)
DURATION: Four sessions. Four days per session.  
OBJECTIVES: Training in Voyager System Administration.
Introduction to tables and profiling for all Voyager modules (OPAC,
Cataloging, Circulation, Acquisitions and Serials). Introduction
to OPAC. Introduction to Reporter module. Discussion of canned report
production for acquisitions, cataloging, and circulation. Discussion of
database migration issues.  
AUDIENCE: At least one participant from each UH library.
GOAL: Participants will return to their library and make informed
decisions as to how the system will be implemented. Additionally, they 
should be able to design and deliver a plan to train other staff 
members at their library. In some cases, the functional trainer will be
the same person designated to receive module training.

WEBVOYAGE OPAC TRAINING (Mid-May?)
DURATION: One session. Two days.
OBJECTIVES: Training in the customization of OPAC product. 
AUDIENCE: Web Catalog Implementation Task Force

MODULE TRAINING, CATALOGING (May 22 - June 16)
DURATION: Two sessions. Three days per session.
OBJECTIVES: In depth training of the Cataloging tool. Discussion of

CITATION SERVER TRAINING (After bibliographic database is in production)
DURATION: One day. One session.
OBJECTIVES: Configuring citation databases. Customizing citation
displays. Setting up hooks and simultaneous searching.
AUDIENCE: Up to eight Manoa staff. Wil Frost, Voyager Project Manager,
will select the participants. 

CUSTOMIZED REPORTING (post-production - August?)
DURATION: Two days. One session.
OBJECTIVES: Introduction to the database structure for  
reportwriting. Introduction to BLOB data and the relationships between
tables. The SQLPLUS command line interface will be used to teach SQL
queries and illustrate reporting options.  
AUDIENCE: Systems Office staff.

WORKFLOW CONSULTING (post-production - August?)
DURATION: Two sessions. Two days.
OBJECTIVES: Review of Voyager functionality for each of the
modules. Issues identified by participants.
AUDIENCE: At least one participant from each library. 

IMAGE SERVER TRAINING (post-production - August?)
DURATION: One session. Two days.
OBJECTIVES: Scanning of images. Creation of bibliographic records from
scanned images. Linking scanned images to existing bib records. File
