Strategies for Managing with Less

Budget not cut $500,000 but...

• The Library's share of the budget cuts, after several iternations and adjustments is $248,000 -- including executive restrictions and utility assessment...this amounts to a 1.9% cut from our base.
• This amount plus book/journal fund inflation of 7% average per year since 2000 has taken a toll.

Measures already taken to address cuts

• Reduce supplies/travel/binding of journals/security guard hours and student assistants
• Delay filling positions
• Cut selector book purchase funds by $75,000
• Anticipate cutting up to $200,000 from new trade and university press titles that come in on automatic approval plans

Problem

What it Means

• Library's book/journal budget will be skewed with no monographic funds unless we rebalance.
• No funds available to address inflation in serials costs

Next Step: Serials Review

• Realign the collection to match current needs of faculty, researchers and students
• Eliminate duplication of titles being purchased in more than one format in order to maximize purchasing of power of $
• Position the Library to be able to cancel lowest priority items if budget requires that we do so.

Review Process

• Committee of senior libraries guiding a process to identify core collections in each discipline
• A survey of faculty will be conducted
• Library faculty members will work with departments to ascertain core collections and identify less needed titles
• Use studies

Timing of Review

• Need to begin identifying titles now through the end of May 2004
• While most subscriptions are calendar year, we pay our main vendor in August/Sept in order to get discounts (4%). Notification of which titles to cancel must be made before we make those major payments
• Process will be ongoing over more than one year

How Can You Help?

• Respond to queries from your library liaison
• Identify core titles that you think we should keep .. if we don't have, we should order
• Identify those titles less crucial to your work
