Clean Up Old KFS Pending Documents: Round Two Completed

Target Audience: KFS Users

The cleanup of old KFS Pending Documents as of June 30, 2025, will be auto-disapproved on February 13, 2026. A report of the disapproved eDocs will be in your FOxxx folder in PageCenterX, with an additional email from FSO for documents that could not map to your FOxxx folder. Please disregard the report that was generated on February 4, 2026, as it was a duplicate of the auto-disapproval that occurred in December 2025.

The next and final process to automatically cancel or disapprove any remaining SAVED or ENROUTE documents in KFS (for the purpose of the eKFS cutover) will occur on the day of the KFS shutdown for the conversion. This is targeted for the week of March 23, 2026. Please continue to take action prior to the eKFS cutover by reviewing your KFS Action List, and cancel ordisapprove any pending documents (SAVED or ENROUTE) that are no longer required.

eKFS – End User Training, Training Videos and Updated User Guides

Target Audience: KFS Users

The user acceptance testing in the eKFS Sandbox environment concluded last month on January 31, 2026. Thank you to those who participated, provided feedback and/or sign-off, and we hope you had a chance to test all of the critical functions you would handle on a daily basis. We will report to Kuali with results to confirm that the system is functioning as expected (or identify any issues that should be fixed).


Live End User Training, as well as Live Q&A Sessions, will be offered with morning and afternoon options, beginning on February 23, 2026. These sessions will go over the basic navigation and new features of the updated system, highlight noticeable changes and what to expect moving forward. New training videos and updated user guides will also be available on our website as additional resources. Please note that UH login will be required to access these resources for security purposes.

2026 Federal Allowable Mileage Rates

Target Audience: Fiscal Administrators

Effective January 1, 2026, the Federal allowable standard mileage rate for business has increased to 72.5 cents per mile.  Business mileage claims of 72.5 cents per mile are to be processed on the Personal Automobile Mileage Voucher, DISB-33.  The form DISB-33 can be found on the Travel Forms page.

Corrections to the 2025 1099-MISC and 1099-NEC Forms

Target Audience: Fiscal Administrators

There was an error on the recently issued 2025 Form 1099.  The form mistakenly reported payment data from tax year 2024 instead of tax year 2025.  The incorrect data was NOT sent to the IRS. 

Everyone who received the incorrect 1099 was mailed a corrected 1099 and notification letter on January 30, 2026.  The corrected 1099s will have CORRECTED 1099 printed in red on the envelope.

Annual Inventory Verification Report

The Annual Inventory Verification Report is important for internal control and compliance purposes. Thank you to all departments that submitted their Annual Inventory Verification Report in a timely manner. There are still a few departments that have not yet submitted their reports and missed the October 17, 2025 deadline. Departments with outstanding reports will be contacted directly.
